Job Summary:

Responsible for the supervision of a small, dedicated, fast paced secretarial team, specialising in Child & Young People. Ensuring the team fulfil their duties via collaboration and support of the Paediatric clinical team, within a timely manner and to the required standard.

Essential Duties and Responsibilities:

  • Subject Matter Expert on Children and Young People referrals within both Private and RTC patient cohorts.
  • Supervising the secretary team, including 1 to 1’s and appraisals, ensuring tasks are fulfilled in a timely manner and to the required standard
  • Oversight and writing letters to GPs etc, to a high standard as these represent our medicine standards to other professionals
  • Oversight of and the management of our patients, helping them arrange appointments and assisting them to document their medical progress through the treatment pathway
  • Training of new and existing Secretaries on assessment and patient journey management duties
  • Managing the admin’ that accompanies this busy role, such as electronic filing of documents and answering emails

Qualifications and Experience:

  • Competent and confident with computers but not limited to MS Office, Outlook, Word, and Excel.
  • Organisation skills and an ability to manage own workload whilst supporting others
  • Excellent telephone skills to handle calls with a variety of unknown subject matters, while maintaining a compassionate yet task-focused approach, even under pressure.
  • An ability to work on own initiative yet be a key part of a team.
  • Be a natural problem solver.
  • Positive outlook and an ability to work well under pressure.
  • Being flexible to ‘go the extra mile’ when a patient in need requires that ‘little bit extra’.
